Getting Started as a Host

Using Churchrooms in 'in-person' mode


Introduction

  1. When you click the host link to start your Churchrooms session, enter your name into the box provided. You can choose to launch in full screen or to keep your browser tabs visible.
  2. When you click continue you will enter the room and now see all the controls along the side.
  3. Starting from the top, if you look to the right-hand side you will see a number of menu options, depending on what is available for your chosen course. These can all be toggled on and off so they appear in the main window or can be collapsed into the side bar.
  4. It starts with the ‘meeting’ button which, when you click on it, will show you each element in the playlist for that session in order, and you can also choose the Session you will be doing that week by clicking the ‘Change Session’ button and then choosing the Session from the drop-down menu.
  5. You may then see the ‘downloads’ button. This will provide a QR code that you or any of the group can click on to access any downloadable resources that go along with your course. [Hint: Check to see if there are leaders’ notes that can help you as you facilitate the group.]
  6. If there are physical products recommended as part of your course these can be found in the ‘products’ button and purchases can be made from within Churchrooms.
  7. Finally, you have the ‘leave’ button in red, and you will get a confirmation before leaving the meeting, just in case you press it in error.

 

Running a meeting

  1. To start the meeting click on the ‘Meeting’ button and you will see all the items in the playlist for your current session.
  2. You can change session by clicking the ‘change session’ button and selecting the session you want from the ‘change session’ drop-down menu.
  3. You can select each item in the playlist simply by clicking on it and then closing the side menu using the x button.
  4. Videos are played by clicking the ‘play’ arrow symbol. This will disappear after playing the video for a few minutes.
  5. If there are any resources to download or purchases associated with the course, you can press the ‘Downloads’ or ‘Purchases’ button to toggle a QR code on off the screen for participants to scan.
  6. At the end of the meeting press the ‘leave’ button to conclude the session.



 

Using Churchrooms in 'remote/hybrid' mode


Introduction


  1. When you click the host link to start your Churchrooms session, enter your name into the box provided. Make sure the boxes to disable your microphone and camera are unticked. You may have to grant permission to use your microphone and camera if your browser asks you.
  2. When you click continue you will enter the room and now see all the controls along the side.
  3. Starting from the top, if you look to the right-hand side you will see a number of menu options, depending on what is available for your chosen course. These can all be toggled on and off so they appear in the main window or can be collapsed into the side bar. 
  4. It starts with the ‘playlist’ button which, when you click on it, will show you each element in the playlist for that session in order, and you can also choose the Session you will be doing that week by clicking on the ‘Change Session’ drop down menu. You will also be able to see any notes for you, as facilitator, against each of the elements of a session.
  5. Next comes the ‘chat’ function. This allows participants to chat to all members of the group and also will list any activity such as who has joined or left any meeting. 
  6. The ‘participants’ button allows you admit people into the meetings, add additional hosts to help you run the session, and, if necessary, remove people.
  7. You may then see the ‘downloads’ button. This will give any participant access downloadable resources that go along with your course, often in PDF format. Also, check to see if there are leaders’ notes that can help you as you facilitate the group. 
  8. If there are physical products recommended as part of your course these can be found in the ‘products’ button and purchases can be made from within Churchrooms.
  9. Then, along the bottom of the screen are your meeting controls.
  10. Starting from the left, you can mute the whole group using the ‘mute all’ option. 
  11. The next two buttons turn your microphone and camera on or off respectively. 
  12. Then you have the share screen option, from which you can choose which host to share there is more than one host, and which window or browser tab you want to share.
  13. Next are the settings options, from where you can choose your camera and microphone inputs.
  14. Finally, you have the ‘leave’ button in red, and you will get a check to see if you just want to leave the room or if you want to end the session for everyone.



Running a meeting

  1. The 'overview' tab, in the 'Invite other to the meeting' box, will have the link you can copy and paste to invite other to your meeting.
  2. As people join your meeting using the link provided you can admit them or choose not to let them in on the 'participants' box using the button along the side.
  3. To start the session click on the ‘Playlist’ button and you will see all the items in the playlist for your current session.
  4. You can change session by clicking on the ‘change session’ drop-down menu.
  5. You can select each item in the playlist simply by clicking on it. Not any helpful guidance in the 'facilitator's notes' section.
  6. Videos are played by clicking the ‘play’ arrow symbol. This will disappear after playing the video for a few minutes and participants' microphones will be muted during playback.
  7. If there are any resources to download or purchases associated with the course, participants you can press the ‘Downloads’ or ‘Purchases’ button to access them.
  8. At the end of the meeting press the ‘leave’ button to conclude the session.
